A varied reality as the range of PRIMA sought a management system that would allow to treat administratively the various companies under his care and that also allow the analysis and management control both at the individual company and at the level them together. Hence the need for a flexible and easy ERP solution to apply to specific needs that would allow optimum use of resources and reduced the time devoted to administrative management. Unique aspects of the project realized were represented by the specificities of the cooperative sector and services in general, for which some functional improvements have been made (especially on the order management); furthermore, the interest focused also on the possibility of obtaining analytical data, both in the aggregate and in the individual companies.
PRIMA chose Microsoft Dynamics NAV with the customizations of NAV-Lab; the initial collaboration involved the management of basic administrative procedures: CO.GE, cost accounting and management control. In addition, PPE Accounting, Account Receivable (Purchase Orders and Passive Invoices) and Account Payable (Sales Orders and Active Invoicing) are managed. Customizations have been essential to better adapt the ERP to the needs of PRIMA. Core implementations were made on the sales cycle with the management of billing reminders based on contracts and not on direct production and on cycle of budget management, managing cost centers and aggregating the “ledger accounts” depending on the management control. Improvements have been made in the management of payments, accounting, withholding and pro forma notes. Also a replica of the data archives has been set; it allows a master company to replicate these data automatically on the other companies.
The implementation of a simple and flexible ERP system enables PRIMA a more agile management of its complex administrative reality. Fundamental was the ability of EID to immerse in the reality of a company of services and to fully grasp the requirements. Customizations can reduce the time spent by the users for accounting and simplify the monthly billing allowing a continuously keep track of the company. A reduction in the time devoted to data entry allows users to devote himself to activities that are more productive; considerable savings allow PRIMA to move resources and budget to further improve the services provided to external realities that collaborate with this company. Furthermore, the possibility of continuous updates allows the Company to progress in the management of the organization and in the continuous improvement of the services provided.
